Plan to consolidate email addresses in high gear
As part of Concordia’s strategic commitment to implement more efficient and effective administrative practices, the university is rolling out a new central email system for faculty and staff. The goal is to enhance university-wide communications by establishing a shared central email system for all faculty and staff — more than 1,600 mailboxes are already set up on the new service.
“This process is about improving access, streamlining process and ensuring greater stability,” says Marc Denoncourt, associate vice-president, information systems, and chief information officer. “We are reducing the number of individual email platforms needing simultaneous technical support and management. At the same time, a consolidated email system offers greater information security, reliability and more comprehensive disaster recovery.”
The new centralized email system has many convenient features such as larger mailbox quotas, improved meeting coordination as a result of centralized calendar tools, enhanced communications tools and integration with other Microsoft productivity tools, additional spam protection, and improved mobile support and access.
“The ultimate goal of the project is to use these new features to enhance communication and collaboration university-wide,” says Steve Bush, project manager for the email migration initiative.
In addition to offering Concordia’s academic and professional staff a more modern and feature-rich email environment, the centralized service establishes a uniform naming convention for all faculty and staff addresses (firstname.lastname@concordia.ca), making it easier to find other people in the Concordia community and providing a more professional email addressing standard.
The migration process is taking place on a department-by-department basis, and in partnership with both Instructional and Information Technology Services and the email consolidation project team. The team aims to complete the migration of all administrative staff emails in May and June, and to assist the faculties with their migration activities over the summer. The full migration is expected to be completed by the beginning of the fall term.
