Concordia faculty and staff to move to Microsoft Teams softphones for a smarter, more connected campus

To improve security and communication, Concordia is upgrading its telephony system from traditional CISCO desk phones to Microsoft Teams softphones. This transition provides faculty and staff with a more flexible, secure and efficient communication solution. 

But it’s more than just a technical upgrade — it’s about building a smarter, more connected Concordia, explains Philippe Delisle, associate vice-president of information and instructional technology services and chief information officer. 

“By integrating our communication tools into a single platform, we're enhancing efficiency, collaboration and the overall user experience for faculty and staff.” 

Why the change?

The current telephony system has reached the end of its lifecycle, creating security risks, maintenance challenges and scalability limitations. 

“By adopting Microsoft Teams softphones, Concordia is proactively addressing these issues while introducing a system that better aligns with modern workplace needs — both now and into the future,” Delisle says. 

Microsoft Teams softphones are software-based phone lines that allow you to make and receive calls using your existing number and extension from anywhere with an internet connection. Accessible via the Microsoft Teams app on a computer, smartphone or tablet, the MS Teams softphones ensure your office phone moves with you for greater flexibility and connectivity — whether on campus or working remotely from anywhere with an internet connection.

Beyond calling, the system integrates with Microsoft Teams collaboration tools, including chat, video conferencing and file sharing, making it easier than ever to stay connected and work efficiently across departments. 

In addition to improved functionality, eliminating physical desk phones reduces electronic waste and aligns with Concordia’s sustainability goals. 

Supporting a smooth transition

Adapting to new technology takes time, and Instructional and Information Technology Services (IITS) is committed to making the transition as seamless as possible. 

Nicolas Boukas, IITS project manager, emphasizes the ongoing university-wide needs assessment that is aimed at gathering feedback, addressing concerns and tailoring this implementation to faculty and staff needs up front before the change takes place. 

“We want this transition to be smooth and ensure everyone feels supported,” Boukas says. “Our goal is to provide clear guidance and resources so that nothing is disrupted and no one is left behind.” 

To ensure this smooth transition, IITS is coordinating with each unit to schedule changes during their quieter periods. The upgrade will happen overnight, so there’s no downtime — faculty and staff will arrive to a fully functional system. The only adjustment will be learning that new system, with comprehensive training and dedicated IT support available every step of the way.
