Circulation policy

The Fine Arts Academic and Research Facilities resources are defined within three general categories.

Locations

Constitutes rooms, experimental performance spaces and temporary labs. In general, these resources are not attached to any particular equipment (portable or permanent) and most often consist of an empty space, which may or may not have any furnishings in it.

Portable Resources

This category constitutes the majority of the resources available through the Academic and Research Facilities. It includes such things as projectors, cameras, sound recording equipment, laptops, motion capture systems, etc…

Workstations

This category encompasses permanently installed equipment such as the video and audio edit suites.

The following access priority classifications have been established.

Research Borrower/User

Must be an active member of Hexagram and/or a recognized research center, or one of their Research Assistants wishing to make use of the resources for legitimate research purposes.

Faculty Borrower/User

Encompasses any University Faculty authorized Borrower/User who wish to access the resources for legitimate research purposes.

Graduate Borrower/User

Encompasses any University Graduate Student (or Graduate Certificate Student) authorized Borrower/User who wishes to access the resources for legitimate research purposes.

The following circulation parameters have been established in accordance with the Borrower/User Classification access priorities.

Advance Reservation Limit: The maximum amount of time in advance that a Borrower/User may place a reservation for a resource.

Research Borrower/User : 120 Days

Faculty Borrower/User : 120 Days

Graduate Borrower/User : 120 Days

Maximum Circulation Length: The maximum amount of time that a Borrower/User may check out or reserve a resource.

The amount of time after the scheduled pickup time that a Borrower/User may still pick up a reservation before that reservation is canceled automatically. Varies according to resource category.

  • Locations: 4 Hours
  • Portable Resources: 1 Hour
  • Workstations: 30 Minutes

Due to the high volume of demand and the limited number of locations available, there is a restriction of only 1 concurrent booking allowed per “location” resource.

This means that a Borrower/User may only have a given location booked for a maximum of 16 days total at a time. The 16 days may be divided into several separate bookings (ex: 2 bookings of 8 days each). However, the total amount of days booked across all bookings for one location cannot exceed 16 days total at any given time.

Any Borrower/User wishing to make a request that exceeds the general circulation policies as stated above must submit a written request to the appropriate Staff member.

The above stated Circulation Policies constitute a general blanket set of parameters subject to modification for particular resources by the appropriate staff member.
