Policy on Insurance
Concordia University, Faculty of Fine Arts
The Borrower/User must ensure that proper measures are taken to safeguard equipment and is solely responsible for the value of the equipment and any other losses not covered by the University’s insurers.
This policy only covers Concordia University faculty, employees and students for loss, theft or damage. Concordia University is only responsible, with respect to partner university equipment loans, in the case of a maintenance-related problem. Therefore external researchers and research assistants must refer to the insurance policies and procedures of their home university to determine the extent of their liability.
Except in the case of negligence, the first $2,500 for equipment / $5,000 for laptops may be absorbed by the Borrower/User.
In the case of loss, theft or damage to university property, the Borrower/User must take measures as soon as possible, within the time limit specified by Concordia University’s insurers, to prove that they did not act with negligence. The Borrower/User is responsible for collecting witnesses, filing a police or a Campus Safety and Prevention Services report, or any other action that helps to prove that they acted responsibly. If negligence is determined, the Borrower/User may be held responsible for absorbing the lesser of the full cost of replacement of the equipment, or the University’s deductible, which is $25,000.00 per insurable event.
In the event of an incident on University premises, the Borrower/User must file a Campus Safety and Prevention Services report within 24 hours. For incidents outside the University premises, the Borrower/User must file a police report immediately. The Borrower/User must also immediately contact the related Concordia University department when an incident occurs.
If equipment is stolen from the Borrower/User’s home, the equipment must be claimed on their “Home Insurance” and the proceeds reimbursed to the University without delay. If the Borrower/User doesn’t have home insurance then the current university insurance policy will be applied.
External researchers and external research assistants will follow all above incident report procedures and then process their claim through their home university’s Insurance Department. External researchers and assistants are fully responsible for understanding the requirements of their home university’s insurance policies and procedures.
The current Concordia University Property Insurance program applies worldwide. However, if university equipment is leaving the province, the Borrower/User must so inform the apropriate department, in writing, at least 2 weeks prior to departure. The Borrower/User must include detailed information regarding the intended usage of the equipment, duration of time away and location(s) to be visited. Neglecting this procedure may result in the loss of coverage by the University’s insurers.
A Faculty Researcher/ Faculty member must approve the loan of equipment valued at over $100,000.00 for any authorized Borrower/User who does not have Faculty Researcher/ Faculty member status, by signing an approval form prior the release of the equipment.
A Borrower/User is not authorized to transfer borrowed equipment to another user. The equipment remains the original Borrower/User’s full responsibility until it has been returned by that Borrower/User.
