Description of job duties

The Carbon Governance Living Lab Project investigates local decarbonization initiatives through the lens of “governance experiments.” This concept involves purposeful interventions designed to address climate change and decarbonization imperatives in municipalities, with the intention to innovate and learn from best practices. Building on the research team’s existing work in mapping local carbon-governance experiments across Canada, this position will support (a) the development of a roadmap to form a carbon governance living lab based on best practices, and (b) bringing together researchers and partners (community and industry) to co-design and pilot carbon governance experiments, based on the living lab model.

The Project Coordinator will play a crucial role in ensuring the success of these projects. They will be responsible for orchestrating the planning and execution of project meetings, facilitating effective communication among project stakeholders, involving students, supporting social-media engagement, and ensuring alignment with project objectives and timelines. This role requires strong organizational skills, attention to detail, a high level of professionalism, and the ability to collaborate effectively with diverse stakeholder groups.

Planning and Preparation

  • Collaborate with principal investigator (PI) to track and monitor project activities and deliverables in line with research objectives.
  • Develop agendas and schedules for project meetings, ensuring alignment with project goals and timelines.
  • Coordinate logistical arrangements for meetings, including venue selection, technology setup, and distribution of materials.

Facilitation and Execution

  • Participate in project meetings, helping to guide discussions to ensure all stakeholders have a clear understanding of project objectives, roles, and responsibilities.
  • Promote effective communication among project team members, industry partners, and students.
  • Provide training and support for students.
  • Capture meeting minutes and action items, ensuring accountability and follow-up on assigned tasks.
  • Contribute to ongoing knowledge-mobilization activities on an as-needed basis.

Documentation and Reporting

  • Maintain accurate records of project meetings, including attendee lists, agendas, and key decisions.
  • Document project requirements, constraints, and risks identified during meetings and communicate these to relevant stakeholders.
  • Generate and distribute meeting summaries and reports to project teams and stakeholders.
  • Support the creation, execution, and monitoring of project-related social-media posts under the direction of project-committee chairs.

Stakeholder Engagement

  • Serve as a primary point of contact for project stakeholders, addressing inquiries, concerns, and requests for information.
  • Foster strong relationships with project team members, industry partners, and students.
  • Proactively identify and escalate issues or barriers to project success to appropriate stakeholders.
  • Other duties as required by project needs.

Position requirements

  • University degree in a relevant discipline or equivalent combination of education and experience
  • Bilingual imperative: Excellent written and oral communication skills in English and French
  • Detail-oriented and self-directed
  • Ability to work collaboratively and positively with individuals and groups in a distributed work environment and as part of a diverse team
  • Strong analytical and problem-solving skills
  • 1 year + project coordination experience
  • Advanced skills in Microsoft Office 365 – Word, Excel, Outlook Email, PowerPoint
  • Previous experience working with non-profit organizations and/or living lab initiatives is an asset

Rate of pay
$28-$32/hour (30-35 hours per week)
