Mitacs-JSPS Summer Program

Concordia PhD students and postdoctoral fellows can apply for the Mitacs - Japan Society for the Promotion of Science (JSPS) Summer Program to pursue collaborative research in Japan. 

Call for proposals October 1, 2024 - November 12, 2024

Under the joint supervision of a home and host professor, successful PhD students or postdoctoral fellows will receive a research award to conduct a summer research project at an academic institution in Japan. We invite you to apply! 

For faculty members, this award is a unique opportunity to build bridges with universities and develop international projects.

Eligible institutions and requirements

  • Open to: PhD students or postdoctoral fellows at a Canadian academic institution and remain as such throughout the Mitacs-JSPS program. Postdoctoral fellows may apply if their date of graduation from a PhD program is no more than five years prior to the proposed start date of the research project. 
  • Eligible host institutions include: 
    • Universities and inter-university research institutes in Japan. 
    • The Ministry of Education, Culture, Sports, Science and Technology (MEXT)-affiliated institutes that conduct scientific research 
    • Other institutes designated by the Minister of MEXT 
    • List of eligible host institutes

  • Projects must take place during the period set by the JSPS. The dates for the 2024 program are mid-June to mid-August 2025. More details can be found here. Note that dates are tentative and may be subject to change.

Key deliverables

Before departing Japan, participants will be asked to submit a report on the research work they carried out under the Mitacs-JSPS Summer Program. JSPS will provide the report format and instructions directly to participants. 

Participants are required to complete a post-program survey, which they’ll receive from JSPS. 

Application process

Here are the details of the Mitacs Globalink Research Award program and application process.

To participate candidates need to meet the following eligibility criteria:

  • Cannot undertake a research project at an institution where they have previously completed a degree 
  • Must be registered as full-time graduate students or postdoctoral fellows at a Canadian academic institution and remain as such throughout the Mitacs-JSPS program. Postdoctoral fellows may apply if their date of graduation from a PhD program is no more than five years prior to the proposed start date of the research project. 
  • Must be the legal age of majority in Canada (18 years of age or older) 
  • Must be Canadian citizens or permanent residents 
  • Must meet travel requirements for their intended destination, including visa and/or immigration requirements and associated documentation 
  • Must be new to the Mitacs-JSPS Summer Program 
  • Cannot have previously held a Mitacs Globalink Research Award 
  • Must be available to conduct the research project during the Mitacs-JSPS Summer Program dates (see Schedule on the JSPS website)
  • Applicants are strongly encouraged to read more about the program on the JSPS’s website and the  Mitacs JSPS webpage

Duration

Projects must take place during the period set by the JSPS. The dates for the 2024 program are mid-June to mid-August 2025. More details can be found here. Note that dates are tentative and may be subject to change.

Value

For each approved award, JSPS will provide:

  • Round-trip airfare. Flight arrangements are made by JSPS’s designated travel agent based on JSPS regulations. 
  • Maintenance allowance (equivalent to 534,000 yen in total) 
  • Insurance during participant’s stay in Japan (full details provided to successful fellows in the JSPS acceptance package) 
  • A research support allowance of up to 158,500 yen for the host supervisor’s research-related expenses 
  • No funds will be released if the Mitacs International Pre-Departure Form is outstanding.
  • For each approved award, Mitacs will provide $3000 CAD.

Step #1 Find home and host supervisor

  • Find a supervisor at Concordia and at an eligible academic institution in Japan (listed above) to supervise your research project. 
  • The best place to start looking for a host supervisor may be with a Concordia professor (whether it is your supervisor or another professor in your department or faculty). Professors have broad international networks and may have colleagues in your country of interest.
  • You can also do your own research by exploring universities in your preferred destination, and identifying professors working in your areas of interest. 
  • Explore Concordia can help you to find Concordia faculty members by research interests and areas of expertise;

Supervising professors' eligibility

  • Must hold a faculty position at an eligible university. 
  • Must be eligible to supervise graduate students 
  • Must be available to supervise during the Mitacs-JSPS Summer Program dates (see Schedule on the JSPS website)

Step #2 Complete and submit your application

  • The application needs to be completed and signed by both home and host supervisors, as well as the research intern.
  • Important to note that the application is signed by the Concordia International Office and Office of Research after it has been submitted online and reviewed.

Step 1: Prepare your application on the Mitacs Portal

Important to note:

  • Ensure the application you download to submit for internal signature at Concordia has been signed off on by all participants. It should read “completed sign off” in section 7 (Sign-off Status).
     

Step 2: Submit your application to Concordia for signature 

Download a copy of your completed online Mitacs application for internal submission to Concordia International.

• Signed applications will be submitted to ConRad on behalf of Concordia faculty by the International Office.
• Signed applications by the Office of Research and Concordia International will be submitted to Mitacs on your behalf.
 

For internal submission to Concordia students must upload the completed Mitacs application and register on the Concordia International Mobility portal. The portal regroups all the application documents for mobility programs. Click on the application link below. 

If your application is successful, after you receive your outcome letter from Mitacs:

  1. Participate in a pre-departure session with Concordia International. Your pre-departure form is signed by Concordia International following the pre-departure session. 
  2. Obtain appropriate travel documents (i.e., passport, visa, work permit)
  3. Obtain appropriate travel/health insurance
  4. Send your Pre-departure and Code of Conduct and Ethics forms to Mitacs 
  5. Complete the payment information form on the Concordia International Mobility Portal.
  6. Arrange for housing
  7. Interns will receive their award once they arrive at their host country. You will need to be prepared to make arrangements to travel to your host country.

*It is important to inform Mitacs and Concordia International of any changes affecting your research project, including change of dates, major changes to the project, eligibility of both supervisor and/or intern, etc.
