Recording and Dissemination Policy
The Volt-Age mission is to position Concordia University as a world-class facilitator of knowledge and innovation by transforming university research into real-world solutions through inclusive and equitable engagement with communities and partners. By being transparent and open throughout the research process and providing opportunities for learning and sharing, we aim to model a new, collaborative approach to knowledge creation.
Volt-Age organizes and curates a large number of events each year for researchers, students, industry, community, and public partners, as well as events open to the general public. It is important to share the information, tools, and resources that come from our events to various audiences that could benefit from them. At the same time, we recognize that it is important to create safe space for free sharing of ideas, critical thinking, and constructive feedback during events.
Volt-Age commits to providing resources and knowledge sharing tools and information internally, to researchers and industry members and to the general public while also actively designing and promoting safe spaces for innovation and conversation.
General Policy
Photographs and video may be taken of participants and speakers at in-person Volt-Age events for marketing and communication purposes both internally and to the general public. Online events and hybrid events may also be recorded, and screenshots may be taken for marketing and communication purposes. By participating in Volt-Age events, participants agree to the use of video and photographs of their person for marketing and communication purposes unless they contact Volt-Age in writing to volt-age@concordia.ca no less than 48 hours prior the event to request that their image not be used.
Volt-Age Events
Volt-Age events include in-person, hybrid, and online workshops, networking events, conferences, and special events organized or co-organized by Volt-Age.
Formal presentations, keynote speeches, and panels given at in-person, hybrid, and online events will be audio and video recorded and may be shared publicly. If confidential information, such as that relating to intellectual property, is shared during a presentation, it is the responsibility of the speaker to request that section of the video and/or audio be edited out and not shared. Slides and images accompanying formal presentations may also be shared publicly.
Plenary and poster sessions will not be audio or video recorded. Notes may be taken of the talks by Volt-Age staff members or assigned Volt-Age representatives and a summary of those presentations may be created by the Volt-Age team to be shared. Summaries will not attribute comments, questions, or responses to specific individuals.
Information discussions and question-answer sessions may be video or audio recorded, but the content of those sessions will not be shared publicly. Notes may also be taken by Volt-Age staff members or assigned Volt-Age representatives. A summary of the discussion or session may be created by the Volt-Age team to be shared. Summaries will not attribute comments, questions, or responses to specific individuals.
Transcription, Subtitling, & Translation
To facilitate accessibility, transcriptions and subtitles or captions of formal presentations, keynotes, and panels may be created by human and/or AI. Subtitles or captions may be created in both French and English. Some or the whole of a transcription may be translated to have both French and English versions available for reference. Transcriptions and translations may be shared publicly.
