Communications and Operations Support Coordinator

Duration: 1 year, with renewal potential based on performance and funding availability

Description and context

The Institute for Research on Migration and Society (IRMS) is Concordia’s central hub for immigration research. It brings together professors, students, postdoctoral and associate researchers to explore migration dynamics through the social sciences, using both disciplinary and interdisciplinary approaches.

IRMS’s mission is to foster the development of new research, offer training opportunities, and facilitate knowledge transfer beyond academia. The Institute operates in both French and English, contributing to Concordia University’s engagement with Quebec society.

We are a small but growing team, looking for a flexible and motivated person to support our expansion.

Reporting to the Operations manager (Kassandre thériault) and the Academic Director (Mireille Paquet), this position combines strategic communications and operational support, with a key mission: enhancing IRMS’s visibility while ensuring its smooth day-to-day operations.

Roles and responsibilities

Operations Support

Manage calendars efficiently for the management and team.
Take meeting minutes and follow up on decisions.
Assist with basic administrative and financial tasks: invoice tracking, submitting receipts to financial services.
Organize travel and make necessary bookings (rooms, accommodations, transportation).
Oversee the upkeep and organization of shared spaces (meeting rooms, kitchen, resource room).
Help develop and follow internal procedures to optimize IRMS’s operations.

Strategic Communications Development and Social Media Management

Develop and implement communication strategies to enhance IRMS's visibility.
Conduct media and academic monitoring related to IRMS’s themes and prepare weekly summaries of relevant news and publications.
Manage and engage IRMS’s social media channels:
- Write and publish content related to activities and research.
- Collaborate with the team to propose publication ideas.
- Develop and expand the LinkedIn community.
Manage and develop the IRMS website page – AEM Training available.
- Review and write content (events, publications, research projects).
- Collaborate with Concordia’s web team to optimize the web structure.
Contribute to the writing and distribution of the quarterly newsletter:
- Write event summaries, research news, and partner profiles.
- Coordinate the layout and sending.
Design visuals for social media and events (Canva, PowerPoint) – training available.
Monitor communication performance metrics and suggest adjustments as needed.

Event and External Relations Support

Coordinate event logistics (reservations, materials, promotion).
Provide on-site support during events and ensure their smooth running.
Represent IRMS at certain partner events and write reports.
 

Job requirements

  • University degree in social sciences, communication, public relations, administration, or related fields.
  • Experience in strategic communication (ideally in an academic or research setting).
  • Knowledge of research knowledge mobilization practices.
    Excellent organizational skills and attention to detail.
    Comfortable with digital tools and social platforms (LinkedIn, Canva, SAP is a plus).
  • Strong interpersonal skills and facilitation abilities.
  • Very good proficiency in French and English (both written and spoken).
  • Team spirit, high autonomy, and adaptability.
  • Knowledge of immigration issues and key stakeholders in the field (an asset).

Salary and benefits

Salary will be determined according to job-related training and experience.

Salary range will be determined based on the AERC/CARE collective agreement.

The position includes a benefits package (health and dental plan, life insurance and sick

leave, pension plan and long-term disability plan).
